These policies define how Tidal Wave Institute treats every student and how we operate as a continuing-education provider. They apply to all enrolled students regardless of profession, cohort, or delivery format. Questions about any policy on this page can be directed to info@tidalwaveinstitute.com.

Grievance & Complaint Policy

Tidal Wave Institute is committed to the fair, timely, and confidential handling of every student complaint. This policy applies to complaints about course content, instructor conduct, course delivery, exam administration, certificate issuance, billing, or any other aspect of TWI's continuing-education activities.

How to file a complaint

  1. Submit in writing by emailing info@tidalwaveinstitute.com with the subject line "Formal Complaint." Include your full name, license number (if applicable), the course or activity in question, the date, and a description of the concern.
  2. Acknowledgment: TWI will acknowledge receipt within five (5) business days.
  3. Investigation: TWI's Director of Education will review the complaint and gather relevant materials, including course records, instructor documentation, and any student communication.
  4. Response: A written response with the investigation findings and any corrective action will be provided within thirty (30) calendar days of the acknowledgment.
  5. Appeal: If the outcome is unsatisfactory, the student may request a second-level review by TWI's President within fifteen (15) calendar days of the response. The President's decision on appeal is final.

Complaint records

All formal complaints, investigations, and outcomes are documented and retained for a minimum of seven (7) years. Records are treated confidentially and shared only with the individuals directly involved in resolution, TWI leadership, and — when required — state licensing boards, CE Broker, or other regulatory authorities.

Regulatory escalation

Nothing in this policy limits a student's right to file a complaint directly with the appropriate state licensing board or credentialing body, including the Georgia State Board of Physical Therapy or the Federation of State Boards of Physical Therapy.

TWI does not discriminate on the basis of any protected characteristic in the administration of its educational policies, admissions policies, tuition or refund policies, instructor selection, or any other institutional activity.

Any student who believes they have experienced discrimination in a TWI activity may file a complaint using the grievance procedure above. TWI investigates all such complaints and takes appropriate action, which may include instructor removal, curriculum change, or refund.

Accessibility & Disability Accommodations

Tidal Wave Institute is committed to providing equal access to its continuing-education programs for students with disabilities in accordance with the Americans with Disabilities Act (ADA) and Section 504 of the Rehabilitation Act.

How to request an accommodation

Students who require accommodations to fully participate in a TWI course — whether for a learning disability, sensory or mobility impairment, chronic health condition, or other qualifying disability — should email info@tidalwaveinstitute.com at least fourteen (14) days before the course start date. Requests received closer to the course date will be reviewed and accommodated whenever practicable.

A student's request should describe the nature of the barrier and the type of accommodation being sought. TWI may request supporting documentation from a qualified professional. TWI will respond in writing within five (5) business days and work with the student to identify a reasonable accommodation, which may include extended exam time, alternate-format course materials, captioning of video content, screen-reader-compatible documents, physical-space adjustments for in-person sessions, or other reasonable modifications.

Confidentiality

All accommodation requests and supporting documentation are handled confidentially and stored separately from academic records. Information is disclosed only to individuals with a legitimate need to know in order to implement the accommodation.

Records Retention Policy

Tidal Wave Institute maintains complete and accurate records of every student's enrollment, coursework, examination results, certificates, and completion status. Records are retained in accordance with continuing-education provider standards and applicable state regulations.

Records maintained

  • Student roster: name, license number (when applicable), profession, contact information, and enrollment date for every course
  • Attendance and completion: date-stamped module completion, total time-in-course, and course completion date
  • Assessment results: examination score, pass/fail status, and any remediation activities
  • Certificates issued: unique certificate number, contact hours awarded, and issuance date
  • Course evaluations: aggregate and individual course feedback used for continuous curriculum improvement

Retention period

All student records are retained for a minimum of seven (7) years from the course completion date. Certificates and completion records are archived indefinitely so that students can request a duplicate certificate at any time in the future.

How to request a duplicate certificate or record

Students may request a duplicate certificate or a copy of their record by emailing info@tidalwaveinstitute.com with their full name, the course name and completion date, and a valid photo ID. Duplicate certificates are issued within ten (10) business days at no cost to the student.

Regulatory access

TWI provides student records to state licensing boards, CE Broker, PACE, and other regulatory authorities upon lawful request. When possible, TWI will notify the affected student before disclosure.

Policies last updated September 2026. TWI reserves the right to update these policies as needed to remain compliant with regulatory standards; substantive changes will be communicated to enrolled students by email.
